Job description
Mantra Systems is a growing business in the medical device regulation industry and is seeking to recruit to the new role of Office Manager.
The successful candidate will have responsibility for ensuring Mantra Systems' daily operations run smoothly and efficiently.
You should have experience of working within a senior administrative role and be able to demonstrate a broad range of administrative skills relating to human resources, health and safety, finance and operational management.
You will have an eye for detail and be focused on achieving a high standard of work. As Office Manager, you will be expected to carry out the role efficiently, identifying areas within the businesses operations where improvements can be made and implementing these in consultation with the senior team.
Essential requirements
- Minimum of 3 years experience in an office-based administrative role
- Lateral thinking for identifying and solving problems
- Ability to work independently and as a part of the team
- Familiarity with using cloud-based document management systems
- Proficiency in using spreadsheet and word processing software
- Excellent numerical, verbal & written communication skills
- Fluency in English
- Legal right to work in the UK
This role requires a personable manager who can support Mantra Systems in achieving its operational and strategic objectives. It will require presence in the office most days (we are based around the Meadowhall area), but is also flexible for some remote working. The role is only open to local UK-based applicants.
Key tasks
The key responsibilities of the role would include, but are not limited to:
- General management
- Supporting the Mantra Systems team and clients with general office duties
- Managing 3rd parties
- Liaising with external agencies involved in the safe and efficient functioning of the business
- Health & Safety
- Ensuring the Health & Safety plan is maintained and delegate related tasks as required
- Human Resources
- Managing the HR system to be the first contact for reporting of HR matters - Mantra systems is supported by a professional HR agency
- Accounting finance
- Working with our online accounting software to carry out bookkeeping tasks
- Document production
- Create documents to a professional standard including quotations and contracts in conjunction with our medical writers
- Meetings' admin
- Producing accurate notes and action plans from meetings
- Report writing
- Producing reports to reflect our key performance indicators
- Policy management
- To develop relevant standard operating procedures (SOPs) and policies relating to administrative processes and operations
